ANNUAL GENERAL MEETING

25TH MAY 2022

ATTENDEES :  Peter Keen, Nick and Diana Cliffe, Christine Ryman, Kerry White, Steve Rogers, Dick Pooley, Judith and Robert Broadley, Linda Bell, Kevin Booth Alison and Charlie Kent, Craig Watson, Anthony Palmer, Moira (Flint Cottage)

Chairman of the trustees, Peter Keen, opened the meeting and welcomed all attendees. He thanked Dick Pooley for the arrival drinks.

1.  Approval of the Minutes of the Zoom AGM held on Wednesday, 6th May 2020

2.  Report by Chairman NDVH Dick Pooley

Welcome everyone & thanks for attending.

Yet another short report for Covid reasons!

We did hold a "Village Lockdown Release & Centenary Party" on 14th August last year where many many Village folk, friends, and family were finally pleased to meet up again.

We ran a very successful Quiz & Fish & Chip supper evening in the Autumn where approx 50 attended.

We then had our very popular Village Sunday Lunch on 20th March this year, where just under 50 people attended.

Sportswise, we now hold both the Autumn & Spring GOLF  trophies, as we won by a very narrow margin at the Lambourn in October last year, but thumped Speen by a 1.25 margin on 28th April this year at Badgemore Park GC.

Future events are:-  the Queen's Jubilee Celebration on Sunday June 5th - bring a picnic and drinks to the Village Hall field.

Our Village Fete on Saturday 13th August, which has not been held for four years!  Let's make it a good one!

Wine Tasting in October and Xmas Carols & Pub night in December.

My thanks to all committee members for their attendance at meetings, although these have been relatively few, again, for obvious reasons.

A special thanks to Nick Cliffe who is standing down as treasurer after five years, and to Steve Rogers for  grass cutting of the field.

Melinda is standing down as Secretary, after four years in the post.  Many thanks for the  always detailed minutes.

We will need to pay some  attention to the following:- replace broken tiles on the garage roof, replace the bark or other material in the play area, secure the table tennis table to a wall and other general maintenance.

I hope to see everyone at both the next events.

3. Resume from Jeremy Mudie re Hall bookings

 ‘2021-2022 was a busy year for the hall.

During this time had 67 “one off” bookings the majority which were children parties.

The makers of Netflix The Crown booked the hall for 3 very lucrative days of filming. The hall will appear in an episode due to be broadcast in November this year albeit briefly.

Of the regular users, the Chiltern Clock Club attended Thursday evenings on 20 occasions throughout the year.

Apollo Table tennis club used the hall most Monday and Tuesday evenings throughout the season ending at Easter time.

Three different U3A groups met at the hall, each for one evening per month.

Carwow were regular users but we have not seen them for a couple of months which is a shame as they had been good business for us.

Hughenden parish Council have booked several evenings to hold council meetings.

I am not sure whether this is permanent or temporary , given their hall was damaged in recent storms.

To date we have not had any problems with the on-site key safe and the booking system appears to be working well” 

Dick thanked everyone for attending and he hopes to see everyone at village events.

Tree to be planted for platinum jubilee, Dick will speak to his son. Steve Rogers needs 3m clear to be able to mow.

 EXAMINERS' REPORT TO NORTH DEAN MEMORIAL HALL ACCOUNTS YEAR ENDED 28 th FEBRUARY 2022 In accordance with instructions given to us we have examined without carrying out an audit the annexed financial statements prepared from the accounting records of North Dean Memorial Hall for the year ended 28 th February 2022 and from information and explanations supplied to us. Covid has had an effect in terms of income although costs remain the same.

Committee paid for outside redecoration, clock, and commemorative plaques for John Rogers and George Holt Thomas, who donated the hall to the village 100yrs ago.

Generous donors amount to £2,700 per annum.

Legal document which we bought for the filming cost £600 but we can carry forward and use in the future.

Carwow 2nd hand car dealers has dropped off.

Big worry is electricity bills. Nick floated the electric market rather than getting a contract.

Craig Watson asked if we should raise the booking fees especially for the winter.

Dick said Jeremy Mudie has already looked into raising the price.

Hughenden Parish council booked till Sept.

Dick thanked Nick Cliffe.

Azets approved, it is noted that the cost of these accounts is paid by Beechdean, a huge thank you to them for this.

Dick said about the corner of the hall by the tennis table will need attention in the near future.Peter Keen said there’s been a complaint about the floor, Dick and the rest of the committee don’t know anything about that.

Linda Bell there used to be a grant but Nick cliff says the scheme ended.

For the fete Dick says instead of hiring Speen’s marquee we are going to buy one.

Committee will discuss what size etc.

Peter Keen thanked Jeremy Mudie for dealing with the hall bookings.

As Melinda is stepping down JB suggested committee members take it in turns to take the minutes at the meetings. C. Kent suggested taping the meetings but this idea was not supported.

Treasurer Nick Cliffe stepping down- Robert Broadley stepping up as treasurer. Peter Keen welcomed Robert and seconded by Linda Bell and Diana Cliffe.

Dick will stand again and will be elected at the next committee meeting.

5. AOB

We have 49 email address’s and that includes some Speen residents.

We need more email address’s Dick will go round North dean and try to gain support from villagers.

 Speeding- Via Dick, Melinda said not much can be done as there have been no serious accidents.

Steve Rogers said there are some low rise barriers in Haddenham.

 Charlie Kent doesn’t appreciate facebook groups in Naphill asking the farmer to cut hedges on Clappins Lane, Charlie pointed out this is a single track lane.

Alison Kent suggested a ladies golf day.

Tennis tournament suggested.

Dick says if anyone wants to take on cricket/ladies golf/tennis they are welcome but these events take a lot of organising.
